How to Export Office 365 Mailboxes to PST?

Understanding Office 365 and PST Files

Office 365: Office 365 (now‚ Microsoft 365) is a cloud-based productivity service that includes Outlook‚ Word‚ Excel‚ PowerPoint and Microsoft OneDrive‚ as well as several other collaboration services․ Exchange Online stores enterprise mail‚ contacts‚ calendars‚ tasks and other mailbox items in the Microsoft cloud․

PST: A Personal Storage Table (PST) file is a file format used by Microsoft Outlook to store copies of local e-mail mailboxes‚ including messages‚ contacts‚ calendar events‚ tasks and other items supported by Microsoft Outlook․ PST files can be opened in later compatible Outlook versions for offline‚ migration or data archiving․ Exporting to a PST file creates a copy in Microsoft 365 without deleting the original data or reducing mailbox quota usage․

Which Office 365 to PST Method Should You Use?

The best method depends on the mailbox, your permissions, the installed applications, and the amount of data you need to export.

Microsoft Purview and Outlook is not described as complete free standalone PST export services. Their availability depends on your Microsoft 365 license, Outlook edition, account configuration and permissions.

What to Check Before Exporting

Microsoft Purview Requirements

• Use an account with an eligible Microsoft 365 licence and the required eDiscovery permissions.
• Confirm that you can access the required eDiscovery case and mailbox locations.
• Use a supported and up-to-date web browser.
• Keep enough local storage available for the downloaded ZIP packages and extracted PST files.

Outlook Requirements

• Use new Outlook or classic Outlook for Windows according to the data you need to export.
• Add the email account as a Microsoft 365 or Exchange account, not as a POP3 account.
• Confirm that the correct mailbox is connected and the required folders have finished synchronizing.
• Keep enough free space on a local drive for the resulting PST.

Data Protection Checklist

• Confirm that you are authorized to access and export the mailbox.
• Store the resulting PST file in a protected location.
• Prepare the mailbox name, export date and selected date range or folders.
• Do not remove or modify the source data until the exported PST data has been validated.

Method 1: Export Office 365 Mailboxes to PST Using Microsoft Purview

Microsoft Purview is the inbuilt feature for administrator and compliance users who need to search and export Microsoft 365 mailbox data. The current Microsoft 365 eDiscovery Purview experience can package mailbox messages in a PST file and allows to download locally through the Microsoft Purview Portal.

1. Sign in to the Microsoft Purview portal using an account with eDiscovery permissions.
2. Select eDiscovery, open Cases, and create a case or choose an existing case.
3. Open the Search tab and create a search query.
4. Select the Microsoft 365 mailbox  locations.
5. Choose conditions based on date, sender, recipients or subject when you require a selective export.
6. Run the search and review the search statistics and available results.
7. Open the completed search and tap on Export.
8. Enter an export name and whether to include indexed or partially indexed items.
9. Select Export items report and choose create PST for mails.
10. Configure the PST package size and select folder and source path.
11. Start the export and monitor the progress through Process Manager.
12. After the process finished, open the export and select download packages.

Important Microsoft Purview Limitations

• Search export packages expire 14 days after they are created, so download them before the expiry date.
• An export that runs for more than seven days without completing is automatically cancelled. Divide very large exports by mailbox or date range.
• Partially indexed items require careful export feature because they may not fully match the search query.
• Large exports can take considerable time to prepare and download.
• The contents and structure of the PST depend on the search scope and selected export-package options.

Method 2: Export Office 365 Mailbox to PST Using Outlook

Outlook offers a native way to export your Microsoft 365 mailbox data when its properly synchronized. Now, follow the process as we have mentioned below:

1. Open Microsoft Outlook and select Add Account.
2. Enter your Microsoft 365 email address and select Connect.
3. Complete Microsoft sign-in and multifactor authentication if prompted.
4. Wait for the required emails and mailbox folders to synchronize.

Option A: Export PST Using New Outlook

1. Open Settings in new Outlook.
2. Select Files and open Export.
3. Select Get started.
4. Choose the mailbox or specific folders you want to export.
5. Follow the export wizard to create the PST file.

Note:New Outlook supports PST export, but contacts and calendar items stored in PST files are not currently available in new Outlook. Use classic Outlook if these data types are required.

Option B: Export PST Using Classic Outlook

1. Start classic Outlook and select File.
2. Choose Open & Export and select Import/Export.
3. Select Export to a file and choose Next.
4. Select Outlook Data File (.pst) and choose Next.
5. Select the mailbox or the required folders.
6. Enable Include subfolders when you need the complete folder tree.
7. Select Browse, choose a local destination, and enter the PST filename.
8. Choose how Outlook should handle duplicate items and select Finish.

Outlook Export Limitations

• Outlook exports only allows to apply one account at a time and including only the data available to the selected mailbox profile.
• Older messages can be missing when Outlook is configured to synchronize a limited period. Change the synchronization settings to All and wait for synchronization to complete before exporting.
• Large mailboxes consume lots of time to synchronize and export.
• Do not save an actively used PST inside a OneDrive-synchronized folder because file locking and synchronization can create problems.

Can You Export Office 365 Mailbox to PST Using PowerShell?

No, Powershell cannot directly export Office 365 mailbox to PST through New-MailboxExportRequest. Microsoft documents this cmdlets as an on-premises Exchange feature. Connecting to Exchange Online PowerShell doesn’t make the command available for Microsoft cloud mailboxes.

For an Office 365 mailbox, use Microsoft Purview, Outlook or an Office 365 to PST Exporter. The New-MailboxExportRequest, Get-MailboxExportRequest and Remove-MailboxExportRequest These commands apply only to supported on-premises Exchange environments and should not be presented as an Exchange Online export method.

Special Office 365 Mailbox Export Scenarios

Export a Shared Mailbox to PST

You can export a shared mailbox only when your account is authorized to access it. An Administrator can select the shared mailbox as a data source in Microsoft Purview. In Outlook, confirm that the shared mailbox is available and its required folders are synchronized before exporting. Export an Online Archive Mailbox to PST

Microsoft Purview can include associated archive mailbox content in an export. In the current Purview experience, content from a primary mailbox and its associated archives may be merged in single PST depending on the required package settings. Office 365 to PST Exporter also offers in-place archive mailbox support. It allows you to choose, confirm that the archive is included in the export scope before starting.

Export Your Own Mailbox Without Admin Access

If you do not have administrator access, you can normally export your own mailbox data through Outlook or Office 365 to PST Exporter tool as we recommended, it depends on your organization policies. Microsoft Purview, organization-wide exports and access to other users shared or archive mailbox required the proper permissions for export.

How to Verify the Exported PST File</h6
Verify the PST before using it for backup, migration, or archival purposes:

1. Open classic Outlook and click on file, choose open and export and choose Open Outlook data file.
2. Select the exported PST and expand it in the Outlook folder pane.
3. Check the Inbox, Sent Items, custom folders, and subfolders.
4. Open several old and recent messages and confirm that their attachments are accessible.
5. Check contacts, calendars, and tasks when those data types were included.
6. Compare important folder or item counts with the source and review the Purview report or software export log when available.
